School calendar and Google sync
Open Calendar from the staff sidebar to see school events beside configured terms, holidays, lessons, published exams and admissions interviews you are allowed to see. Use Month, Week, Day or Agenda to change the view, and the source controls to hide schedules that are not relevant to the task at hand.
Directors and Headteachers can select a date or time range to create an event. Other staff can open entries and follow Open source to the screen that owns a lesson, exam, term or interview. Those operational entries are read-only in the calendar.
Create and publish an event
- Choose New event, or select a date or time range in the calendar.
- Set whether it is all day or timed, and choose daily, weekly or monthly recurrence if needed.
- Choose the audience: the whole school, a class or stream, staff roles, or a specific student.
- Add a location or meeting link and, if required, email reminders for the day, one day before, or one week before.
- Save as a draft for management review, or publish it immediately.
Published events appear only to their audience. Guardians see whole-school events plus events, lessons and exams matching their child. Staff-role events and admissions interviews never appear in the family portal. Drafts remain visible only to Directors and Headteachers.
Drag or resize a custom event to change its time. For a repeating event, this changes the selected occurrence rather than silently moving the complete series. Open an event to edit the series or archive it.
Connect a shared Google calendar
One Director or Headteacher can choose Connect Google. YoShule creates a secondary calendar for the school using the connected account. Published whole-school custom events sync in both directions. An event created directly in that Google calendar arrives in YoShule as a draft until management assigns an audience and publishes it.
Terms, holidays and published exams export from YoShule and stay read-only from Google's side. Class lessons, targeted events and interviews are not exported. This keeps the shared Google calendar free of student-specific and role-restricted information.
If the same custom event changes in Google and YoShule before a sync completes, Calendar shows a conflict. Choose Keep YoShule or Use Google; neither version is silently lost.
Google sync requires deployment configuration by the platform operator. The YoShule calendar works normally when Google is not connected.
Family calendar
Guardians open the child's Calendar tab for a 120-day agenda. It includes published dates visible to that child, their class timetable and published exams. Calendar access is not hidden by the fee-based portal gate.
