Accounts & roles
How do I invite a teacher, bursar, or matron?
Go to Dashboard → Team → Invitations, fill the Invite team member card with their email and role, and click Create invitation. Full walkthrough: Inviting staff.
A user didn't get the invitation email — what now?
Open Dashboard → Team → Invitations, find the pending row, and click Resend. Ask the user to check spam first. If it still doesn't arrive, copy the invite link from the row and send it directly.
How do I reset my password?
On the sign-in page, click Forgot password?, enter your email, then follow the reset link from your inbox. See Signing in & password reset.
What permissions does each role have?
A short summary: Admin sets up the school; Headmaster runs academics; Registrar manages students and timetables; Bursar handles fees and expenses; Matron runs the clinic; Teacher takes attendance and enters marks; Guardian views their child's records.
Terms & enrollment
How do I switch the active term?
In Dashboard → Settings → Initialize Study Year, advance to the next term or initialize a new year. Schools usually do this between terms, not during class hours.
Can a student be enrolled in two streams at once?
No. A student has one active stream per term. Moving between streams is a re-enrollment, not a parallel enrollment.
How do I correct a wrongly entered mark?
The teacher who entered the mark can re-open the Marks Entry grid, correct the value, and save. The audit trail records who changed what.
Finance
How do I re-issue an invoice after a fee change?
Update the fee structure first, then go to Dashboard → Finance → Invoices and re-generate for the affected students. Existing invoices for already-paid amounts are not touched.
How do payment adjustments differ from waivers?
A waiver reduces what the student owes (the school agreed to forgive part of the bill). A payment adjustment corrects a previously recorded payment — a typo, a duplicate, or a wrong allocation — and needs an approver to commit.
How do I generate payslips for the month?
In Dashboard → HR → Payroll, pick the month, run the payroll, then download or email payslips from the resulting record.
Timetable & academics
How do I build the timetable for a new term?
Go to Dashboard → Timetable, click Add Lesson for each session (time slot, subject, teacher, venue). Roll-call sessions use the timetable directly.
How does roll call work for split classes?
Each stream takes its own roll call. If a class is split into streams for a lesson, the timetable holds one entry per stream and each teacher takes their own attendance.
Medical
How do I track medication expiry?
Receive each shipment as a batch with the expiry date. The inventory page shows expiry warnings, and stock movements pull from the earliest-expiring batch first.
Support
How do I close a support ticket?
Open the ticket in Dashboard → Support, set the status to Closed from the action menu, and add a closing note.
