Availability is the working week YoShule holds for one member of staff at one school: which days they work, and between which hours on each of those days. A teacher in until 17:00 Monday to Thursday and 13:00 on Friday records exactly that.
Where it is used
Two screens read it:
- Timetable — when you pick a teacher for a lesson slot, anyone whose recorded days or hours don't cover that slot is left out of the list.
- Exam invigilators — the picker ranks staff against the sitting's date and time, and labels anyone outside their hours.
Staff need hours on file at the current school before a lesson can be scheduled. The lesson must fit the recorded hours and must not overlap their lessons at another school. Exam invigilation keeps hours advisory, but overlapping invigilation at another school is blocked too.
Setting someone's hours
- Go to Dashboard → HR → Staff and click the person's row.
- In the Availability card, choose Set hours — or Edit, if a week is already saved.
- Tap each day they work. Days are independent: a teacher who is in on Monday, Wednesday and Friday gets only those three, and the rest read Day off.
- Set From and Until on each day you switched on. They bound that day alone — a lesson or exam starting before the first, or ending after the second, falls outside their hours for that day.
- Click Save availability.
Switching a day on copies the hours you last typed, so a week that is the same throughout is still one window entered and six taps. Change any day afterwards and only that day moves.
A day that is switched off is a day off — not an unbounded one. The timetable and the invigilator picker treat it exactly as they treat a day outside the hours you set.
Seeing who is still missing hours
Dashboard → HR → Staff → Availability lists every active member of staff with the week held for them, a line per stretch of days sharing the same hours — so an ordinary week reads as one line, and a short Friday adds a second. Anyone with nothing on file is marked Hours required, and the tab carries a count of them. Clicking a row opens that person's profile, where you can set the hours.
The bell in the top bar carries the same count under HR → Staff need hours before timetabling, so the gap surfaces without anyone going looking for it. Staff who haven't set their own see Profile → Availability not set instead, which opens My Profile.
Only admins and the headmaster can see the whole school's hours. Everyone else sees their own record and nobody else's.
Setting your own
Any member of staff can set their own from HR → My Profile, in the My Availability card. The steps are the same. You can only edit your own record; changing a colleague's is limited to admins and the headmaster.
If you work at more than one school, select each school and record its working week separately. While filling in your hours, Committed at your other schools shows the school names, weekdays and times of your lessons elsewhere. Only you can view this list; an administrator scheduling a conflicting lesson sees that you are committed elsewhere, without the other school's name. The list shows weekly lessons, not dated exam sessions.
Existing shared hours are copied to each school when this feature is introduced. Review each school's copy to match the hours you work there. Declared hours may overlap; actual lesson bookings may not.
Clearing hours
Edit → Clear hours removes the record entirely and returns the person to "no hours on file" at the selected school. Further lesson saves are blocked until hours are recorded again. Hours at other schools and existing lessons are left in place.
Common questions
A teacher isn't showing up in the timetable's teacher list. Check their availability first — and check the day the slot falls on, not the week as a whole. Hours that cover the slot on Tuesday say nothing about Friday. Their existing lessons are unaffected — availability filters the picker and validates lesson saves; it does not retroactively unschedule anything.
Can someone have two windows in one day? No — one stretch per day. A teacher in for the morning and back after lunch records the outer span, or the day is left off.
Someone was assigned outside their hours. The exam invigilator picker warns but does not block: on the day of an exam the head assigns whoever is standing there. Only a genuine clash — already invigilating another session at that time — is refused.
Does this track leave or absence? No. Availability is a standing weekly pattern, not a calendar. A teacher away for a fortnight still has the same recorded hours.
