Resources
Resources are the files a teacher shares with a class: lesson notes, past papers, exam papers, a syllabus. Parents download them from the Materials tab in the parent portal, so notes reach home without being photographed and forwarded.
Open it from Academic → Resources.
Who can upload
Uploading uses the same permissions as marks entry, so there is nothing new to learn:
| Role | Can upload to |
|---|---|
| Director, Headteacher, Dean of Studies | Any class and any subject |
| Class teacher | Any subject, within their own stream |
| Subject teacher | Only the subjects they teach, in the classes they teach them |
A subject teacher must name the subject they are uploading to — they have no blanket class-wide permission. If a class does not appear in the list, you are not assigned to it; ask the Dean of Studies to check your subject assignments.
Uploading
- Click Upload resource.
- Choose the file.
- Fill in a title parents will recognise, and optionally a description.
- Pick the term, type, class and subject. Leave Stream blank to share with every stream in the class.
- Click Upload.
Accepted files
PDF, Word (.doc/.docx), PowerPoint (.ppt/.pptx), Excel (.xls/.xlsx), JPEG and PNG, up to 25 MB each.
Keep files small where you can. Most parents open the portal on a phone and pay for their own data, so a 25 MB scan is a real cost to them. Exporting notes to PDF before uploading usually produces a much smaller file than the original Word or PowerPoint document, and opens reliably on any phone.
Organising by term
Every resource belongs to an academic term. Parents see the current term by default with a switcher for earlier ones, which keeps a subject's list readable instead of accumulating years of files. Use the term and type filters at the top of the page to find something quickly.
Deleting
Click the bin icon. You can delete resources you uploaded; Directors and Headteachers can delete anyone's. Deleting is permanent — the file itself is removed, and parents lose access immediately. There is no archive.
What parents see
Parents open a child, then the Materials tab. Files are grouped by subject and show the file size before download. Every download is logged against the guardian and child.
Unlike the Notice Board, Materials is restricted when:
- the school has no active guardian consent on record for that child, or
- the child is blocked for unpaid fees or by the school.
In both cases the tab disappears and the parent is shown why. Clearing the balance or signing consent restores access immediately.
