Dashboard → Finance → Income is every shilling the school took in that didn't come from school fees: a donor grant, canteen takings, what the farm sold, hire of the bus or the hall. Each entry is a deposit onto one of your accounts, tagged with where it came from, so you can answer "what did the farm bring in this term".
Recording income
- Go to Dashboard → Finance → Income and click Record Income.
- Choose the account the money landed in.
- Enter the amount, and the charge if the bank or mobile money operator took a fee.
- Pick where it came from — the source list is below.
- Record who it came from, say what it's for, check the date, and save.
This is the same record as a Deposit / funding money movement — recording it from either screen puts it in both.
The sources
| Source | Use it for |
|---|---|
| Grant | Money from a donor, foundation, or government programme |
| Donation | A gift from a parent, alumnus, church, or well-wisher |
| Canteen / tuck shop | Takings from the school canteen or shop |
| School farm | Sales of produce, livestock, or land use |
| Bus / vehicle hire | Hiring out school transport |
| Hall / facility hire | Hiring out the hall, grounds, or classrooms |
| Uniform & shop sales | Uniform, books, and other items sold to families |
| Fundraising | Proceeds of a fundraising drive or event |
| Other income | Anything earned that none of the above covers |
| Loan | Money borrowed, which has to be paid back |
| Owner's contribution | Money the proprietor put into the school |
Income is not the same as funding
The last two — Loan and Owner's contribution — are funding, not income. The school has to give a loan back, so counting it as money earned would flatter the figures. Both appear on the register and in the Funding tile, and both stay out of every income total, including the Running Balance on the Finance overview.
Reading the register
The By source table totals what each source brought in over the period you've chosen. The tiles above it show income, funding, and the largest single source. Narrow by period, source, or account, or search by purpose, funder, or reference.
Export PDF downloads exactly what's on screen — the per-source totals and every entry behind them — with the school's name and the period on it, ready to hand to a board or an auditor.
Only live entries count. Reverse or correct a deposit and it drops out of the totals on its own — there is no need to post an adjusting entry to cancel it.
Where it shows up elsewhere
- Finance overview gains an Other Income tile, and the Running Balance becomes fees plus other income, minus approved expenses.
- Total Revenue stays school fees only, so that figure keeps meaning what it has always meant and still reconciles with the fee reports.
- The account statement and the Cash Book show each deposit as a credit, as before.
Things to know
- Only Admin, Headmaster and Bursar can see or record income.
- Every deposit must have a source — it can be changed later without moving any money.
- A transfer between your own accounts is not income, and can't be given a source.
- Income can't be dated in the future.
