The Matron's onboarding flow — stock the clinic, log a student visit, and dispense medication.

Before you start

  • You've accepted your invite and signed in.
  • The admin or Registrar has finished setting up the term and enrolled students; the medical pages don't appear in the sidebar until your role is granted.

Steps

  1. Go to Dashboard → Medical → Inventory and click New inventory item to add each medicine or supply you keep at the clinic (name, unit, reorder threshold). You only need to do this once per item.
  2. For each batch you receive (with a specific expiry date), open the item and add a batch entry — quantity received, expiry, supplier. YoShule uses the batch for stock movement and expiry warnings.
  3. To log a student visit, go to Dashboard → Medical → Visits and click the + action at the top. Pick the student, record the complaint, diagnosis, and outcome.
  4. If you give medication, add medication rows on the visit form. For a multi-day course (e.g. antibiotics), use Dashboard → Medical → Courses so the doses you'll dispense over the week are tracked together.
  5. Check Dashboard → Medical → Stock for the audit trail of every in/out movement, and the expiry alerts banner at the top of Inventory.

Always pick a batch when dispensing — that's how YoShule reduces stock correctly and warns you before expired medication leaves the clinic.
