How to create one student record and assign them to a class and stream. For more than ~20 students, use the bulk import instead.

Before you start

  • The active term exists — see Creating and activating terms.
  • The class and stream you'll enrol them into exist (Settings → Departments & Classes, and the Streams page).
  • You have the student's basic details and at least one guardian's contact.

Steps

  1. Go to Dashboard → Students and click the indigo Create button.
  2. Student Information — name, date of birth, sex, student type. Click Next.
  3. Student Photo (optional) — upload a photo if you have one. Click Next.
  4. Class & Term Enrollment — pick the term (defaults to the current term). If your school runs more than one department, choose the department first — the class list is gated by it and only shows classes in the selected department. Then pick the class and stream; the stream list filters by class. The student is registered for the chosen term immediately on creation, so they never show up under Students needing term enrollment. If you pick the Nursery department and the nursery program split is on, a Program field (Full Day / Half Day) appears and must be set — it decides which nursery fee structure the student bills to. The same department → program → class gating applies when you edit a student's enrollment later from their record (Dashboard → Students → open student → Enrollment).
  5. Primary Guardian / Parent (optional but recommended) — fill in NIN, name, phone, email, and relationship. Add a Second Parent if relevant.
  6. Emergency Contact (optional) — a third contact for emergencies only.
  7. Allergies & Medical Alerts (optional) — anything the Matron should know on day one.
  8. Click Create to save. The new student appears in the table with Active status.

You don't have to fill every step in one go — you can return to the student record later and complete the missing sections by opening the student from Dashboard → Students.
