Students → Discipline is where misconduct is recorded and where the school decides what a parent is told. Nothing a teacher writes reaches a parent on its own: every record is reviewed first, and only a published record appears on the family's portal.
A suspension or an expulsion can no longer be recorded without a reason. Setting a student's status to Suspended or Expelled creates a published disciplinary record automatically, so the parent always sees why.
Who can do what
- Teachers can report an incident for students in the classes they teach, and edit their own reports until a reviewer has looked at them. They cannot publish anything, and they cannot propose a suspension or an expulsion.
- Deans of studies, headmasters and admins can review, edit the wording a parent will read, publish, reject, withdraw, and set a suspension or expulsion.
- Registrars can report across the whole school but do not review.
Reporting an incident

Open Students → Discipline and choose Report incident — or use the Discipline card on a student's own page, which fills the student in for you.

Pick the student, the date, a category and a severity, then describe what happened.

Use Internal notes for anything that is for staff only. Parents never see this field.

Send for review puts it in the reviewer's queue. Save draft keeps it to yourself — you can finish it later, and a draft can be deleted.
Write the What happened box for the parent, not for the staffroom. It is the text they read, word for word.
Reviewing and publishing
Records waiting for a decision show on the notification bell under Discipline, and you can filter the list by Awaiting review.

Click a row to open it. You get the full record, including internal notes and who reported it.

Correct the parent-facing wording if it needs it — reviewers can edit at any stage.

Publish to parent makes it visible on the portal and notifies the guardian. Reject sends it back with a reason for the reporting teacher.
Suspensions and expulsions
Choosing Suspension or Expulsion as the action turns the record into a status change. When it is published:
- The student's status becomes Suspended or Expelled.
- A suspension needs a start date and a return date. The student goes back to Active automatically on that date, or immediately if you use End suspension now.
- The guardian is notified and the reason appears on their Conduct tab.
Withdraw record takes a published record off the portal and puts the student's previous status back. The record itself is kept, marked Withdrawn, so the history survives.
What the parent sees
On the portal, under Conduct, a parent sees the date, category, severity, your description, the action taken and its dates — and can mark each one as read. They never see internal notes, the review note, or the name of the teacher who reported it.
The Conduct tab stays available even when a family is blocked for unpaid fees. Arrears must never be the reason a parent cannot find out why their child was sent home.
A suspended or expelled child keeps their place in the parent portal rather than disappearing from it, so the family can still read the record, see the fees, and reach the school.
Notifications
Publishing a record notifies the guardian three ways:
- an unread count on their Conduct tab and portal home,
- an email, if their address is verified,
- an SMS, if the school has switched it on.
The email and SMS carry the student's name, the date, the action taken and a link to the portal — never the description. The account of what happened stays behind the portal login.
