Parents keep their children's records up to date from the parent portal. Most of what they do applies straight away, but sensitive changes and new guardians wait for your review. Everything that needs a decision collects in one place: Students → Parent Updates.
When there is anything to review, a count appears on the notification bell (top bar) under Enrollment, next to "Parent updates to review". The Parent Updates page is open to admins, registrars and headmasters.
What lands in the queue
- Correction requests — a parent asked to change something that can't be edited directly: a name, or a date of birth or gender that was already recorded, or a primary guardian's contact details.
- Guardian additions — a parent added another parent/guardian for their child. Approving one lets that person sign into the portal on their own phone or email.
- Uploaded documents — files parents uploaded against your document checklist. These are already visible to the school; reviewing them just confirms the file is good (or asks for a better one).
Low-risk edits — nationality, home address, an emergency contact, medical notes, filling in a missing date of birth, uploading a document — do not appear here. They apply immediately and show up as history on the student's record.
Reviewing an item
-
Open Students → Parent Updates. Items are grouped into Correction requests, Guardian additions, and Uploaded documents.
-
For a correction request, the table shows the field, the value on record now, and the value the parent is asking for. If the record changed after the parent submitted, a note flags what it was when they asked.
- Approve & apply writes the new value onto the student straight away.
- Reject asks for a reason, which the parent sees on their portal.
-
For a guardian addition, check the name, relationship, phone/email and any ID images. Approve to let them use the portal, or Reject with a reason.
-
For an uploaded document, open it with View. Verify locks the file as accepted (the parent can no longer replace it); Reject with a reason re-opens that checklist item so the parent can upload a clearer copy.
You can do all of this from the student's own page too — Students → (student) shows the document checklist, the guardians list, and a Parent submissions history, each with the same approve/reject/verify actions. From there you can also upload a document on the family's behalf.
Approving a guardian takes effect the next time they sign in. Rejecting or removing a guardian stops future logins, but a guardian who is already signed in keeps their current session until it expires.
